How to Authorize a Representative on CRA My Business Account (Step-by-Step Guide)

If your accountant or advisor needs access to your corporation’s CRA account, you must authorize them through CRA My Business Account.

Below is a step-by-step guide to add a representative online.

Step 1: Log in to CRA My Business Account
  1. Go to CRA My Business Account.
  2. Sign in using:
    • Your CRA user ID and password, or
    • A Sign-In Partner (your financial institution).

You must be an authorized officer, director, or legal representative of the business to grant access.

Step 2: Go to “Authorized representatives”
  1. On the “Welcome” page, select your Individual account to access My Account.
Step 2: Go to “Authorized representatives”
  1. From the homepage(left side menu), navigate to:
    • Profile / Manage profile
  2. Select:
    • Authorized representatives
      or
    • Manage authorized representatives
Step 3: Select “Authorize a representative”
  1. Click:
    • Authorize a representative
  2. Choose:
    • Add a new representative
Step 4: Enter the representative’s details

You will need to enter:

  • The representative’s Business Number (BN) or RepID
  • The authorization level (Level 1 or Level 2)
  • The program accounts to grant access to
  • The authorization expiry date

Confirm these details with your advisor before submitting.

Step 5: Choose the authorization level
  • Level 1 – Limited access
  • Level 2 – Full access, including filings, adjustments, and communication with CRA

For corporate tax and compliance support, Level 2 is typically required.

Step 6: Select the program accounts

You can authorize access to specific program accounts such as:

  • RC (Corporate Income Tax – T2)
  • RT (GST/HST)
  • RP (Payroll)
  • RZ (Information Returns)

Or select All accounts, depending on your engagement scope.

Step 7: Set the expiry date

You may:

  • Set a specific expiry date, or
  • Choose no expiry

Confirm your advisor’s preference before submitting.

Step 8: Review and submit

Carefully review the information and click Submit.
You should receive confirmation once the authorization is processed.

Important Note

Authorizing a representative allows them to:

  • Access your business tax information
  • File returns and make adjustments
  • Communicate directly with CRA on your behalf

You can remove or modify a representative at any time through CRA My Business Account.
